how to create a report filtered by a PowerMarker which spans multiple maps

Dear MM Gurus,

I use MM for Project Management.  I have lots of simultaneous projects.  Here is my story:

  • I have a map with has many linked maps, all with many topics.
  • I use "Power Markers" and have one created called "To Do Next."
  • I filter my map to see only those items (after having filtered out Completed items).
  • I then run a report, which becomes a ToDo checklist for me.

My question for today is this...

Can I perform the filtering and run a report across multiple maps, so that I end up with a list of Everything that I need to do, for all projects?

Filtering can only be done per map, not on multiple maps.
When you have filtered the maps, you can perform a search on all maps (resource = you).
The result is a list of all not completed tasks assigned to you in several maps.

Hi Esther, thanks for your suggestion.  I just tried a quick search, and it appears that I can use my PowerMarkers as a search criteria, which is great.  I'll spend some more time on it, but I think you have given me what I need.

My next challenge will be printing it.  I don't see a feature to print the output.  I see that I can Send the search results to a new map, which I think I can then create an outline and print that.  Am I thinking in the right direction on that?

Connie, you are thinking in the right direction!
Just send the results to a new map and print it (as map or as outline).

I tried and the only caveat was that it didn't carry over my Progress icon, but I was able to Select All and add the icon quickly.

This will be a big help in how I use MM to better advantage.

Hi Esther!  I have been trying out the Search feature, and although it appeared to be the answer to my problems... there seems to be a bug in the system, and I wanted to run it past you...

It is finding and displaying most of my Topics which I've tagged with the term "Open Project," but it is not displaying all of them.  I thought I discovered a possible cause, which was when I used more than one tag on a Topic, but that isn't proving itself out.

Any ideas?

Note:  I did not try the method of defining a Resource, so I will try that now.  I was excited because it looked as though I could use my PowerMarkers, but maybe that's where the problem lies.  I'll post back my results.

Hi again.  It looks like it works more consistently using Resources, than Tags, so I am going to work with that for awhile.  I can get used to it. :)

Hi Michael, thanks for the link.  I took a look, but at this time, it is more than I need and an extra cost I'll need to avoid, but it has lots of nice features.  I appreciate the tip.  Sorry I'm just replying, for some reason I must have missed the email notification when you posted your Comment.

If you have a master map linked to all the project maps, try this:

Open the master map.

Open the View ribbon - Linked Maps (may be called Multimaps in v9)

Select the Map Levels required.  (You may like to start with just 1 to try it out)

Then Combine All to make a new map which you should treat as a snapshot of your projects at this time.  Its not a working map, it does not overwrite or dynamically update your existing maps.

But now you can filter the collected maps and then print or create reports if required by exporting to Word.

In the Print pop up you can use Options to poster print the map.

Hi Andrew, thanks for the tip!  I wasn't aware of that feature at all. (which is my fault, for not investigating all of the features of the software).    Unfortunately though, I don't have one Master Map.  I have several Maps that I link to sub-Maps from, because I do several different "types" of projects.  But I will keep that in mind as I go forward.

That might be a good reason to create one master map, and then link to my several Project Type maps, and then link to all of the individual Project tasks.  At this exact moment, I have over 31 major Open Projects, with hundreds of to-do items under those projects.  Being able to see an overview of all of the different major open projects is very helpful.  Now I can clearly see why I am constantly chasing loose ends!!

The "Search" feature is now working better, since I am using Resources as the filtering criteria, but is not bug free unfortunately.  I don't mind workarounds, I just need to figure out what they are.   If the bugs are worked out in a more recent version, then I'll probably upgrade.  I guess I need to document what is happening and contact support.

You may include Topic Tracker addin  in your investigations.
With this it is possible to combine information from multiple maps in a higher aggregated level.

Thank you Ary for the tip about Topic Tracker.  I visited their site, and briefly read about it, but I'll have to go back later when I have more time.  I see that it mentions sharing Topics and Viewing Topics that I'd be interested in, but I need to read more about how it produces reports, or views that can be nicely printed.
